Power Transmission Emergency? The 6-Step Sprocket, Motor and Bearing Checklist

Let me get this out of the way first: if a machine is down, skip the warm-up. The six-step checklist below is the one I run through every time I have to source a replacement component in a hurry. It doesn't matter whether it's a sprocket, a V belt, an induction motor, or a linear bearing. The process is the same: identify, measure, verify, check local stock, plan for the small parts, and leave a record that makes the next call shorter.

I coordinate emergency parts ordering for an industrial supply and repair company. In the last six years, I've handled more than 200 rush orders. Many of them came from customers where a shutdown costs more than the part. That's why I still use this exact list instead of trusting my first impression.

When To Use This Checklist

Use this checklist when:

  • The failed part is in your hand and has to go back into the same machine.
  • You're ordering from a catalog but don't want to waste a week on the first wrong guess.
  • You're not sure whether the old part is standard or metric.
  • You need to make one phone call and sound like you know what you're asking for.

The Checklist

Step 1: Read The Nameplate And The Printed Number

Most rushed orders get delayed because someone gave a partial description. 'A 5 hp motor' is not a part number. An induction motor nameplate gives you frame size, RPM, voltage, full-load amps, and enclosure type. Write all of them down. I know, the part is greasy and the light is bad. Take a photo anyway. If you can't get a clear photo, clean the tag with a rag and hold a flashlight beside it.

Step 2: Match The Cross-Section Before The Length

Next, measure the parts you can't read. For a sprocket, that means tooth count, bore size, keyway width, and hub style. For a gearbox, get ratio, input shaft diameter, output shaft height, and mounting flange dimensions. For a belt, grab a V belt size chart and match the cross-section first. Most industrial V belts are classified by top width and depth. The outside length printed on the belt is not automatically the pitch length from the chart. Don't use a tape measure around a worn belt and call it 'about 50 inches.'

Once, I had to decide between a generic belt that was in stock and the exact OEM belt that would arrive in two days. The upside was saving the client's afternoon. The risk was a second shutdown if the cross-section was wrong. I waited, and it was the right call. It hurt, but the line didn't stop twice.

Step 3: Verify The Mounting, Not Just The Part Number

This one is kinda sneaky. I've lost more time to mounting dimensions than to broken parts. For example, the LM8LUU linear bearing question comes up more than you'd think. If someone asks 'what size is lm8luu linear bearing?', the short answer is that it's the long version of an 8mm linear bushing. The bore is 8mm and the OD is 15mm, but the sleeve is about 45mm long. A standard LM8UU has the same 8mm shaft fit but is only 24mm long. If the housing is made for the standard version, the long one won't fit.

The same logic applies to an induction motor. The nameplate may say 5 hp, 1725 rpm, TEFC, but the foot bolt pattern still has to match the machine. Check the NEMA frame size, shaft diameter, keyway, and terminal box position before you ask the supplier to cross-ship.

Step 4: Check Local Stock Before Paying For Speed

Here's the step most people skip: while the main part is on the way, order the things you will find missing when it arrives. Set screws, key stock, locking collars, thread locker, gaskets, grease. In March 2023, I lost three days because the gearmotor was perfect but the coupling bolts were wrong. That event changed how I think about last-mile details. If the old assembly came out with a split ring and a locking plate, don't assume you can reuse them. Bag the old hardware and tag it, or put new hardware in the same PO.

Step 6: Write Down What You Actually Did

After the line is back up, take five minutes and save a repair note in the machine file. Include the item numbers, any substitutions, and a photo of the installed part. This is the step that turns a $500 nightmare into a 15-minute phone call next time. It also matters to small buyers. I'm not going to treat a $200 order as less urgent than a $20,000 order. Small orders are still someone's production stopping. The supplier who takes the small customer seriously is usually the one who gets the bigger order later.

A Few Things I Learned The Hard Way

  • Don't order a replacement from a photo unless you can see the tag. A single letter on a bearing can change the seal type.
  • If a V belt looks close enough, it isn't. Use the V belt size chart again, and match the section exactly.
  • If the machine was modified before you got there, the old part may not be original. Measure the mounting, not just the part number.
  • If an induction motor has been rewound, the nameplate may not tell the whole story. Check actual rotation and the lead wire arrangement.

If I remember correctly, the worst mistake I made on a rush order was a linear bearing that was too short. I cost the customer about 18 hours of downtime because I ordered the standard length without checking the housing. I want to say the value of that job was around $700, but don't quote me on that. The real number was the customer's lost production.

Bottom line: the part number gets you 90% of the way there. The last 10% is what kills you. Use this checklist, include the mounting details, and ask the supplier about local stock. The machine will thank you.
